SUMMARY OF POSITION

The Executive and Operations Assistant’s primary responsibility is to ensure that the Executive Director and core organizational programs (fund development, conservation, government relations, etc.) function efficiently and effectively by prioritizing, anticipating, and executing all areas of necessary administrative support. Through schedule and communications management, this position helps the executive staff develop and maintain relationships with donors, partners, Board members, government officials and other staff. The Assistant is expected to use traditional technology and new tools to develop, maintain and execute systems for project management, donor relations and record keeping. This position is full-time at the Elizabethtown, NY office. Opportunities for professional growth and advancement exist. 

CORE RESPONSIBILITIES 

  • Considered “essential personnel” and will be required to work in the Elizabethtown office daily
  • Assist the Executive Director (ED) and Deputy Director (DD) with communications and program planning to strengthen relationships with donors and Directors Emeriti 
  • Serve as a liaison to the Board of Directors including, but not limited to, preparation of meetings and retreats, meeting minutes, Board resolutions, maintaining Board related information, and fostering effective communications
  • Help schedule the ED’s time to maximize outreach, efficiency, and program effectiveness 
  • Use the donor database to document and provide reports related to the ED’s donor outreach, visits, and other contacts
  • Organizing and providing logistical support for monthly Program Directors meetings, weekly staff meetings, twice-annual staff retreats, and Board related events
  • Assist with ED administrative tasks (e.g. document management, timesheets, expense reports) 
  • Assist in daily Council operations such as answering phones, bank deposits, daily post office visits, ordering office and mailing supplies, stocking, etc. 
  • Provide general program support and project management assistance such as assisting with intern and staff hiring, public comment letters, drafting general letters, and seasonal special projects
  • Provide computer and technical support, including serving as the administrator for accounts (e.g., M365, Zoom, network, and hardware support companies), providing backup for online Paychex time and attendance system, and maintaining the hardware and software assets for the organization
  • Support membership and fund development activities, including (but not limited to) fulfillment of orders, providing backup for donor data entry and assisting in member mailings and event support (including the annual members meeting and Forever Wild Day in July)  
  • Ensure that the Elizabethtown front office reception area, conference room, and other common areas are well maintained, look professional, and are functioning efficiently

QUALIFICATIONS 

  • Bachelor's Degree, or demonstrated experience; Public Administration focus a plus
  • 1-3 years of experience in administrative and executive support roles 
  • Strong skills in using technology to strengthen communications and project management
  • Proactive in systems development and implementation to manage multi-phased projects
  • Events and special projects management background at various scales and complexit
  • Experience and comfort with the Microsoft Office Suite and Zoom/Zoom Phone essential
  • Familiarity with Microsoft 365 online environment (SharePoint, OneDrive, OneNote, etc.) helpful
  • Excellent interpersonal communications
  • Enthusiasm for tasks of varying complexity
  • An awareness or familiarity with the Adirondacks is preferred, but not required
  • Dedication to conservation, the Adirondacks, and the mission of the Council
